Cancellation & Refund Policy
Last updated: 18 October 2026
1. Introduction
This Cancellation & Refund Policy applies to services purchased from Kristalium Digital Services (“Kristalium,” “we,” “us,” or “our”) through our website or other authorized sales channels.
Kristalium provides digital services, including website design and development, software and SaaS solutions, IT consulting, digital marketing, search engine optimization (SEO), automation, and related technology services.
This policy explains how cancellations, refunds, and requests to terminate services are handled. It should be read together with our Terms of Service and any separate agreement or proposal applicable to a particular project or subscription.
2. Requesting a Cancellation
Customers may request cancellation by contacting:
Email: contact@kristalium.com
Please include your name, order or invoice reference, the service concerned, and the reason for cancellation.
A cancellation request is not necessarily effective immediately. Its effective date depends on the service, its delivery status, the applicable agreement, and any mandatory legal requirements.
We will confirm receipt of the request and, where applicable, explain the next steps and any outstanding obligations.
3. Website Design and Development
For website design, development, and other project-based services:
- Before work begins, cancellation and refund requests will be assessed according to the applicable agreement and relevant consumer-protection laws.
- After work begins, we may account for work completed, resources reasonably committed, approved third-party expenses, and deliverables already provided when determining any refund, where permitted by law.
- Once a project or milestone has been completed and delivered, payments attributable to that completed work may be non-refundable to the extent permitted by law.
- If a project is cancelled before completion, any refund due will be determined by the agreement, the work performed, and applicable legal requirements.
We will not use this policy to exclude refund or cancellation rights that cannot legally be waived.
4. Digital Marketing and SEO Services
For SEO, digital marketing, advertising management, and related services:
- Customers may request cancellation of ongoing services by contacting us.
- The cancellation date and any applicable notice period will be determined by the service agreement or subscription terms.
- Fees for work already performed may be retained where permitted by law.
- Advertising spend, third-party charges, and other authorized expenses already incurred on the customer’s behalf may not be refundable if the relevant provider does not refund them, subject to applicable law.
- Future service periods will be handled according to the agreed billing and cancellation terms.
We do not guarantee particular search rankings, traffic levels, advertising results, or commercial outcomes unless expressly agreed in writing.
5. SaaS, Software, and Subscriptions
For SaaS products, software access, and recurring subscriptions:
- Customers may request cancellation using the method specified in the relevant service terms or by contacting us.
- Unless otherwise stated in the applicable terms, cancellation will take effect at the end of the current paid billing period.
- Access may continue until the end of that period unless the service agreement or applicable law provides otherwise.
- Fees for a partially used billing period are generally not refunded unless required by law or expressly agreed.
- Any free trial, introductory offer, renewal arrangement, or service-specific refund commitment will be governed by the terms disclosed when the offer is purchased.
Cancellation of a subscription does not automatically cancel other separately purchased services or obligations.
6. IT Consulting and Automation
For consulting, technical implementation, workflow automation, and related professional services:
- Customers should request cancellation as soon as possible.
- Fees attributable to consultations, completed work, implementation, or deliverables already provided may be non-refundable where permitted by law.
- For partially completed engagements, any refund will be assessed against the applicable agreement, work performed, and expenses reasonably incurred.
- Scheduled work, deposits, and cancellation notice periods will be handled according to the agreed terms and applicable law.
7. Digital Deliverables
Digital deliverables may include website files, designs, reports, configurations, software, documentation, and other work products.
Once a deliverable has been supplied, accessed, or accepted, a refund may be limited where the service has been completed or the digital content has been supplied, to the extent permitted by applicable law.
Nothing in this section removes statutory rights relating to defective, non-conforming, or improperly delivered services or digital content.
8. Third-Party Services and Expenses
Some projects may involve third-party tools, platforms, licenses, advertising services, APIs, or other external providers.
Where a third-party expense has been authorized and incurred, it may be excluded from a refund if it is non-refundable under the provider’s terms, provided this is permitted by applicable law.
We will not treat an expense as automatically non-refundable merely because a third party is involved. Any applicable legal rights remain unaffected.
9. Refund Eligibility and Processing
Each request will be assessed according to:
- The type of service purchased.
- The applicable order, proposal, subscription, or service agreement.
- The work completed and deliverables supplied.
- Any authorized costs already incurred.
- The reason for the request.
- Applicable consumer-protection and other mandatory legal requirements.
If a refund is approved, it will normally be returned through the original payment method where reasonably possible. Processing times may depend on the payment provider or financial institution.
We may request reasonable information necessary to identify the transaction and assess the request.
10. Defective or Undelivered Services
If a service has not been delivered as agreed, contains a material defect, or otherwise fails to meet applicable contractual or legal requirements, please contact us with details of the issue.
We will review the matter and determine an appropriate remedy under the applicable agreement and law. Depending on the circumstances, this may include correction, re-performance, partial refund, full refund, or another remedy required by law.
11. Statutory Rights
This policy does not limit, exclude, or replace any mandatory rights available to consumers under applicable law.
Where consumer-protection laws provide a right to withdraw, cancel, receive a refund, or obtain another remedy, those rights take precedence over any conflicting provision of this policy.
Different rules may apply depending on the customer’s location, the type of service, and whether the purchase is made by a consumer or a business.
12. Changes to This Policy
We may update this policy when our services or legal obligations change. The updated version will be published on our website with a revised “Last updated” date.
Changes will not retrospectively remove rights that have already accrued or override terms that must legally continue to apply.
